Three things that happen in a room with a fixed number of mats

A studio is not a shop. What you are selling is a place in a room at a particular hour, and it expires.

Eighteen mats, twenty two names

The list for the popular class is kept somewhere between a spreadsheet, a group chat and somebody's memory. Four people are over the limit and nobody is sure which four, so the room is either uncomfortable or somebody gets turned away at the door on a wet Tuesday.

And the waiting list, which is genuinely money sitting in a phone, is a set of names that only gets looked at when somebody happens to cancel out loud.

One room, three teachers

Monday and Wednesday belong to one teacher, Tuesday to another, alternate Saturdays to the third, and every one of them wants to add a class or move one by half an hour when the clocks change.

Whoever keeps the master timetable does it in a document that has to be re-sent every time it changes, and the version on the website is the version from before the last two changes. The people who read it are the ones who turn up on the wrong evening.

The term pass that has to be asked for

The pass is better value than paying each week and everybody knows it, but buying one involves catching you before or after a class, when you are rolling mats and half the room is talking to you at once.

So people carry on paying drop-in prices for months, which is worse for them and less predictable for you, and the passes get sold in one small rush at the start of September to whoever remembered to ask.

The parts a studio leans on every week

The timetable, the number of places and the passes are one system, so a change in the first is visible in the other two immediately.

A class has places, and when they are gone they are gone

Each class on the timetable carries the number of people the room takes. Somebody books a place in the six o'clock on Thursday, the count goes down by one, and when it reaches nought the class shows as full instead of taking a nineteenth name.

Because it is booked rather than assumed, you walk into the room knowing who is coming, and a class that never fills is visible on the timetable long before it becomes a problem.

Teachers and rooms are resources, and the timetable respects both

Put the teachers in as resources with the days they actually work, and the studio spaces in as rooms. A class can then only exist where both are available, which is what stops two things being put in the big room at seven on a Wednesday.

When somebody swaps a Saturday, you change it once and the timetable on the site is right that second, with no document to circulate.

Passes, class cards and a term that starts on a date

A ten class card and a term pass sit on the page as things anybody can buy at eleven at night without speaking to you. An intro offer for people who have never been can be set to run for a fixed stretch and stop by itself when term starts.

Discount codes work for the studio's own promotions and for the arrangement you have with the office block up the road.

A confirmation, then a nudge before the class

Booking a place sends a confirmation with the class, the teacher, the time and what to bring. A reminder follows before the class itself, which is the difference between a full room and a room with three quiet holes in it.

E-mail sending is part of what you pay for. If you want the reminder to land as a text instead, SMS is a prepaid extra.

Classes can be grouped by style or by level, so a complete beginner is not reading a timetable full of things they are not ready to walk into.

What studio owners ask

Yes. Every class carries its own number of places, and once they are taken the class shows as full. Different rooms and different styles can hold different numbers without anybody keeping a separate list.

Teachers and rooms both go in as resources with their own availability. A class can only be timetabled where the teacher and the space are both open, so nothing can be double booked into the same hour.

They can, at any hour, without finding you after a class. Passes and class cards are items on the page with their own prices, and payment goes through the studio's own Stripe account.

The place returns to the class immediately, so the next person looking at the timetable can take it. Each booking has a personal link, and the notice period you set is shown there before anybody cancels.

The existing site and its content can be imported, and the classes are then set up as real entries with teachers, rooms and places. After that a change to the timetable is made in one place and appears on the site straight away.
